Project Manager/Outreach Coordinator

 

  The Project Manager/Outreach Coordinator is responsible for planning and/or overseeing projects to ensure they are making positive impacts on the community and are completed in a timely fashion and within budget.  The Project Manager/Outreach Coordinator plans and designates project resources, prepares budgets, monitors progress, and keeps stakeholders informed the entire way. Also responsible for connecting with people in the broader community by creating and cultivating relationships with businesses, individuals, and other relevant organizations to uncover impactful projects to organize donations to support the effort and grants to fund the projects. This is all done under the umbrella of the the Mission, Vision, and Values of the hospital, and in accordance with the Service Excellence Standards of Behavior.

  • Demonstrates highly ethical conduct, appropriate moral behavior in personal and professional actions and communication, consistent with the goals and objectives of Hillsboro Area Hospital
  • Maintain confidentiality of all patient, hospital or physician related information
  • Gathers and mines data collections for the purpose of process improvements utilizing Microsoft Excel or other designated program.
  • Prepares status reports by gathering, analyzing, and summarizing relevant information.
  • Follows guidelines of safety (incident reporting), staff health/infection control (illness reporting), human resources, and performance improvement
  • Attends meetings as requested by the CEO or other senior leaders, which may be conducted via phone, Zoom/Teams, etc.
  • Able to direct, delegate, initiate, coordinate, organize, set priorities, and evaluate personnel work assignments.
  • Participates on committees, and special projects as requested.
  • Clearly identifies and responds to internal and external customer needs and requests
  • Ability to work cohesively with a diverse team as well as independently on projects and tasks.
  • Generates confidence and sense of value in customer interaction
  • Able to create, implement, and evaluate goals and objectives, related to accreditation standards, as well as assist with staff development
  • Applies the principles of time management, conflict resolution, problem-solving, and delegation
  • Develops good relationships with executive management, department managers, supervisors and staff
  • Assist in the organization of special events, including donor/volunteer appreciation events and other fundraising initiatives.

  • Models open, clear and consistent communication, using a “win-win” philosophy to resolve issues
  • Demonstrates effective listening
  • Works closely with the CEO and/or their designee, as well as Senior Leadership
  • Participates in the development of the operating and capital budgets ideas, through recommendations to the CEO
  • Predicts resources needed to reach objectives and manages resources in an effective and efficient manner.
  • Prepare budget based on scope of work and resource requirements.
  • Track project costs in order to meet budget.
  • Participates in Grant Writing and donation efforts to secure funds for upcoming projects.
  • Determine and define project scope and objectives
  • Develop and manage a detailed project schedule and work plan
  • Provide project updates on a consistent basis to various stakeholders about strategy, adjustments, and progress
  • Utilize industry best practices, techniques, and standards throughout entire project execution
  • Monitor progress and make adjustments as needed
  • Measure project performance to identify areas for improvement
  • Supports peers and others in managerial roles by “managing up” in conversations with staff
  • Builds relationships and teams for the achievement of goals
  • Creates developmental opportunities so that others can grow
  • Anticipates future trends and consequences
  • Proactive in requesting necessary direction / education to complete assignments
  • Utilizes critical thinking processes to resolve issues in accordance with hospital philosophy

  • Bachelors Degree or higher in Buisness or related field required
  • Self-starter with the ability to operate independently with direction from the President/CEO
  • Expert working knowledge of Microsoft Office including Excel
  • Knowledge and understanding of LEAN principles as they relate to process improvement and data collection
  • Ability to work under pressure with tight time constraints
  • Better than average human relations and organizational skills
  • Additional certifications may be required upon the request of the President/CEO
